Privacy Policy

TurfGolfEvents is owned and operated by BA Custom Products LLC ("we", "us", "our"). This policy says what information we collect, why, who else handles it, how long we keep it, and what you can ask us to do with it.

Who this policy covers

• Facility owners and organizers — people who create an account to run a facility, an event or a golf trip.
• Members — golfers who have an account at a facility.
• Event and trip players — golfers who join one event or trip with their name and its password, without an account.

A facility decides who its members are and what events it runs. For its members' information the facility is in charge and we handle it on the facility's behalf.

Information we collect

• Account details: name, username, e-mail address, phone number, and for a facility its business name, city and state. Passwords are stored only as a one-way hash; we cannot read them.
• Golf information: scores, handicap index, rounds, statistics, event entries, results and records.
• Photos you send: pictures of scorecards and statistics screens, and pictures posted in a trip's group chat. Logos and advertisements a facility uploads.
• Messages: posts in a facility's Clubhouse feed and in a trip's group chat.
• Payments: card payments are handled by Stripe. We never see or store a card number. We keep a record that a payment was made, its amount and its Stripe reference.
• Technical information: the internet (IP) address of your connection, and the date and time of sign-ins. We use these to keep accounts safe, to limit repeated password attempts, and to prevent abuse.

How we use it

• To run the service: leagues, events, trips, leaderboards, handicaps and records
• To read scorecard photos (see "Scorecard photos and AI" below)
• To send event notices, results and account messages
• To take payments through Stripe
• To keep the service secure, and to find and fix faults
• To make sure the free trial is used once per facility owner (see below)

We do not sell your information. We do not use it for advertising profiles, and we do not use tracking or advertising cookies.

Scorecard photos and AI

Scores are read from photos of the simulator's scorecard and statistics screen by an artificial-intelligence service provided by Anthropic. The photo is sent to Anthropic to be read, and the scores and settings it reads come back to us. The photo is used for that purpose only. Photos of event rounds are deleted from our server about 180 days after the event's last deadline; the scores stay.

The free trial: what we remember, and why

Facility Pro has one free trial per facility owner. To keep it to one, when a facility signs up for Facility Pro we keep a scrambled, one-way fingerprint (a keyed hash) of the e-mail address, phone number, username and internet address used. A fingerprint cannot be turned back into the e-mail address, phone number or address it came from; it can only tell us that the same one was used before.

• The fingerprints of the e-mail address and phone number are kept, also after the facility is deleted, so that a second trial cannot be started with the same details.
• The fingerprint of the internet address counts for 90 days.
• A username on its own never refuses anybody.
• If you have had a trial, a new Facility Pro sign-up is still welcome: it opens when it is paid.

What other people can see

• Leaderboards, live boards, TV boards, records and results show players' names and scores to the people who have the link or are at the facility.
• Points Tour standings and an event's live board can be opened by anyone who has the link.
• A round is shared outside the facility only when the member chooses to share it.
• A facility's name, city and state are shown in the facility search on the sign-in page.

Who else handles information

We share information only with the services that are needed to run TurfGolfEvents, and only what each one needs:

• Stripe — card payments
• Anthropic — reading scorecard photos
• Resend — sending e-mail: a facility's e-mail to its members goes through that facility's own Resend account; e-mail about a facility owner's own account, sign-up and billing goes through ours
• Twilio — sending text messages, where a facility has turned them on and you have opted in
• Cloudflare — carries the traffic between your device and our server and protects it from attacks

We may also disclose information when the law requires it.

Separate facilities

Each facility's members, rounds and results are stored in its own database. A facility can see only its own. Course information (par, yardage, stroke index, slope and rating) is shared between facilities; it contains no personal information.

How long we keep it

• Free single-day events: the whole event — teams, names and scores — is deleted 48 hours after the event ends.
• Golf trips on a free account: a Points Tour is deleted 30 days after its last round.
• Facility Pro: a facility's information is kept while the facility has its account.
• A free trial that is not paid: the facility is locked when the trial ends and, if it is still not paid 7 days later, the facility and everything in it — members, rounds, events and photos — is deleted. The owner is written to before each step.
• A Facility Pro year that is not renewed: the facility is paused. Its information is kept so it can be opened again, until the owner asks us to delete it.
• Trial fingerprints: as described above.

Your choices and rights

• Ask for a copy of your information
• Ask us to correct information that is wrong
• Ask us to delete your information
• Turn off notifications

Use our data deletion request form or contact us. We answer within 30 days. If you are a member of a facility, you can also ask the facility. Depending on where you live, the law may give you further rights; we will honor a request that the law entitles you to make.

Security

Connections are encrypted (HTTPS). Passwords are stored as one-way hashes. Repeated password attempts are limited. Keys for payment, e-mail and text services are never shown on a page once saved. No system is perfectly secure; if we learn of a breach that affects your information we will tell you as the law requires.

Cookies

We use only the cookies that are needed to keep you signed in and to protect forms. We do not use tracking or advertising cookies. See our Cookie Policy.

Children

TurfGolfEvents is not directed at children under 13, and we do not knowingly collect information from them. A junior golfer should be added by a parent, a guardian or the facility.

Text messages (SMS)

If you opt in to text notifications with the optional checkbox, we send league and event messages only: registration confirmations, schedule notices, match reminders and results. Message frequency varies, typically 2–5 messages per event. Message and data rates may apply. Reply STOP to cancel at any time, or HELP for help.

We do not sell your phone number. We do not share your phone number or your consent to receive texts with third parties or affiliates for their marketing purposes. Agreeing to receive texts is not a condition of joining any league or event.

Changes to this policy

When we change this policy we change the date at the top. We write to facility owners about changes that matter.
